1. Information We Collect
When you use LeadsLine, we collect information necessary to provide our AI receptionist service:
- Business information: Your business name, phone number, email address, service area, business hours, and services offered.
- Call data: Inbound caller phone numbers, call recordings, transcripts, call duration, and extracted conversation details (caller name, service request, urgency level).
- Payment information: Billing email and payment details processed securely through Stripe. We do not store credit card numbers on our servers.
- Calendar data: When you connect your calendar, we access availability and appointment data to book jobs on your behalf.
2. How We Use Your Information
- Answer and qualify inbound calls on your behalf
- Book appointments on your calendar
- Send you SMS notifications with call summaries
- Screen and block spam and robocalls
- Process payments and manage your subscription
- Improve our AI voice agent accuracy and service quality
3. Third-Party Services
We use trusted third-party services to deliver our product:
- Telnyx — Telephony, call routing, and SMS messaging
- ElevenLabs — AI voice synthesis and conversational AI
- Stripe — Payment processing and subscription management
- Aurinko — Calendar integration (Google, Outlook, iCloud, ZOHO)
- IPQualityScore — Phone number reputation and spam detection
- Convex — Backend database and application hosting
- Amazon SES — Transactional email delivery
Each provider operates under its own privacy policy. We only share the minimum data required for each service to function.
4. Call Recordings and Transcripts
All inbound calls handled by your AI receptionist are recorded and transcribed. Recordings and transcripts are stored securely and are accessible only to you (the business owner). We use this data to generate call summaries, extract lead information, and improve the accuracy of your AI receptionist. We do not sell call recordings or transcripts to third parties.
5. Spam Detection
To protect your business from robocalls and spam, we screen inbound caller phone numbers against phone reputation databases. Caller phone numbers and spam scores are cached for up to 24 hours to provide faster screening on repeat calls. Blocked calls are logged but never forwarded to your AI receptionist.
6. Data Retention
We retain your business data, call logs, recordings, and transcripts for the duration of your active subscription. If you cancel your subscription, we retain your data for 90 days in case you choose to reactivate, after which it is permanently deleted. You may request immediate deletion at any time by contacting us.
7. Data Security
We use industry-standard encryption for data in transit (TLS) and at rest. Payment information is handled entirely by Stripe and never touches our servers. Calendar credentials are encrypted before storage. Access to customer data is restricted to authorized personnel only.
8. Your Rights
You have the right to:
- Access all data we hold about your business
- Request correction of inaccurate information
- Request deletion of your data
- Export your call logs, recordings, and lead data
- Disconnect calendar integrations at any time
9. Changes to This Policy
We may update this privacy policy from time to time. If we make significant changes, we will notify you by email. Continued use of LeadsLine after changes constitutes acceptance of the updated policy.
